Connect QuickBooks to Get Started
SyncQ is an Intuit-authorized application. Connect your QuickBooks company to start building your custom mappings and sync your data with HubSpot.
Master Admin access required. The QuickBooks user connecting must have Master Admin privileges in QuickBooks Online.
One-time login. Once connected, you won't need to log in to QuickBooks again unless you disconnect.
Secure OAuth. You'll be redirected to QuickBooks to authorize SyncQ. No passwords are stored.

Import Existing Records
Bring your existing QuickBooks data into HubSpot. Import each entity type in the correct order — customers first, then products, then transactions that reference them.
Data may be overwritten if field mappings don't match correctly. Double-check your mappings before importing.
Duplicates may be created if matching criteria aren't set up properly. Verify a few records at slow speed first.

Review Field Mappings
Common fields are auto-mapped when you create a mapping. Click Fields on any mapping card to add, remove, or customize which fields sync.

Add SyncQ Fields to HubSpot Layout
SyncQ creates custom fields on your HubSpot objects automatically. To see them on your records, add them to the layout: in HubSpot go to Settings → Objects → [your object] → Record Customization, edit the default view, and add these SyncQ fields:
QuickBooks Company : SyncQ
The QuickBooks company this record is connected to. Shows which QuickBooks account the sync targets. Also used to verify the record owner has a valid SyncQ license.
QuickBooks Id : SyncQ
The QuickBooks internal record ID. Populated automatically after a successful sync. Links the HubSpot record to its QuickBooks counterpart.
QuickBooks No : SyncQ
The QuickBooks document number (DocNumber). Only applies to transactions like Invoices, Estimates, Sales Receipts, Bills, and Purchase Orders. Not used for Customers, Vendors, or Products.
QuickBooks Seq : SyncQ
Internal sync sequence number. You do not need to modify this field.
QuickBooks Sync Status : SyncQ
Shows Success after a successful sync. If sync fails, shows the error — e.g. "CustomerRef is missing", "Line items required", or "Invalid License" (check that the HubSpot record owner is a licensed SyncQ user).
Sync to QuickBooks : SyncQ
Set to Yes to trigger sync from HubSpot to QuickBooks. Set manually or via a HubSpot workflow.

Sync Your Records

a. Manual: Open a HubSpot record → in the right column, find the QuickBooks sync link → this opens the SyncQ record tab → click Sync to sync that record.
b. Field-based: Enable auto-sync in Settings, then set the Sync to QuickBooks : SyncQ field to Yes on records you want to sync. You can also create a HubSpot workflow to set this field automatically for fully hands-free syncing.
a. Bulk Import: Click Import on a mapping card to do a one-time sync of all existing QuickBooks records into HubSpot.
b. Manual: If a HubSpot record is already synced, you can open the QuickBooks record and manually sync changes back to HubSpot.
c. Auto-sync: Enable Auto sync from QuickBooks in Settings on the mapping card to automatically sync QuickBooks changes back to HubSpot.

Enable Auto Sync (optional)
For automatic syncing, click Settings on a mapping card. Turn on Sync HubSpot → QuickBooks and/or Auto sync from QuickBooks, then save. You can also sync records manually without enabling this.
Sync direction applies to auto sync only. You can always manually sync any record in either direction, regardless of this setting.
